Sharing visibility reports with stakeholders
Use public report links for leadership updates and client delivery.
Why dashboards alone do not change minds
AI visibility data lives in product UI — prompt tables, model toggles, audit history. That is perfect for practitioners, but executives and clients rarely log into another tool. They want a narrative: are we winning, against whom, and what changed since last month?
VStok generates HTML visibility reports summarizing visibility score, share of voice, sentiment, top prompts, and competitor comparisons for a defined period. Reports are designed to be read in five minutes, not explored for an hour.
Sharing is the step that converts measurement into budget and action. Without it, audits become a marketing side project.
Public report links and access control
Each report can be published to a stable public URL at /r/:token — no VStok login required. Send the link in board prep, client QBRs, or Slack updates. Recipients see branding, key metrics, and context you choose to include.
Tokens are unguessable; treat links like shared Google Docs with view access. Rotate or revoke if a client engagement ends. For sensitive pre-launch brands, preview reports internally before enabling public access.
Agencies use public reports as deliverables: one link per client per month, aligned with retainer rhythm. In-house teams attach links to monthly marketing ops notes so leadership sees AI visibility next to pipeline and SEO summaries.
Structuring a report narrative that resonates
Lead with business context, not jargon: "Buyers increasingly shortlist vendors via ChatGPT and Perplexity before visiting websites. This report shows whether we appear in those answers versus [Competitor A] and [Competitor B]."
Highlight three sections: overall visibility trend, prompts gained or lost, and citation sources that explain why. Pair a win and a risk — credibility beats cheerleading. If share of voice dropped on comparison prompts, note the planned comparison page refresh.
Use competitor names explicitly. Stakeholders understand relative standing. VStok reports surface side-by-side metrics so you do not need manual screenshots from each answer engine.
Cadence, follow-up, and closing the loop
Match report cadence to audit frequency: monthly for most teams, weekly during competitive campaigns or launch windows. Consistency builds trust; one-off reports feel like crisis comms.
After sharing, track internal actions — content shipped, reviews requested, PR placed — and reference them in the next report's intro. Stakeholders should see that visibility work connects to levers, not magic.
For clients, combine VStok reports with a short Loom or meeting walkthrough of two example prompts in ChatGPT and Claude. Live answers make abstract scores tangible. The goal is a shared definition of winning AI visibility — and a standing item on the agenda until you are clearly ahead.
